About the Add-in

The NetDocuments for Microsoft Outlook add-in enables you efficiently file emails directly to your DMS or share emails from your DMS without ever leaving Microsoft Outlook. You must purchase a NetDocuments account and the ORGANIZE solution to use the add-in.

Send-time behavior (Launch event and Smart Alerts)

The add-in registers an event-based handler on the OnMessageSend event. Each time you send an email from Outlook, this handler runs in a lightweight background runtime, without opening the task pane, and is used in two situations:

• Send and File: When you have chosen a NetDocuments filing location for the email in the task pane before sending, the handler transmits the message (subject, sender, To/Cc recipients, sent timestamp, and message body) to your NetDocuments repository so the email is filed automatically the moment you click Send.

• Prompt to File (Smart Alerts): When the Prompt to File preference is enabled and you have not chosen a filing location for the message, the handler uses Smart Alerts to display a dialog reminding you to pick a NetDocuments destination before the message leaves your mailbox. You can either open the task pane to file the email, or dismiss the alert and send it without filing. Smart Alerts run in SoftBlock mode, so the send is never permanently blocked. Only your saved preference and a per-message "already prompted" flag are read; no message content is transmitted.

No email content is read, transmitted, or stored by this handler unless you have explicitly selected a NetDocuments filing destination for the message.

NetDocuments for Microsoft Outlook is not compatible with the Internet Explorer 11 browser.
