Be-Inc DEI Compliance Bot

Be-Inc DEI Compliance Bot helps organizations foster inclusive communication in Microsoft Teams. The bot silently monitors team channel and group chat messages to detect non-inclusive language such as gendered terms, ableist language, and culturally insensitive phrases. Flagged words and categories are recorded and available for review on the Be-Inc analytics dashboard (https://dashboard.be-inc.ai), where managers and team leads can track DE&I compliance trends across their organization.

What this bot does in Teams

In team channels:

- Silently monitors messages in channels where the bot is installed

- Detects non-inclusive language such as bias, tone, and clarity issues

- For each flagged word, the bot records the word and its category (e.g., gendered language, ableist term)

- Sends a welcome card when installed in a channel

In group chats:

- Silently monitors messages for DE&I compliance (same as team channels)

- Responds to commands only when @mentioned

In personal chat:

- Responds to help with bot information and privacy details

- Responds to status to show registration status and bot metrics

- Provides get-started guidance and support contact information

The bot does not reply to messages or modify content in channels. It works silently in the background to avoid disrupting conversations. All flagged words are stored in the Be-Inc database and can be reviewed on the external Be-Inc analytics dashboard.

How it works

The bot monitors channel messages for DE&I compliance. It detects potentially non-inclusive words and phrases and categorizes them (e.g., gendered language, ableist terms). Only flagged words and categories are recorded — full messages are never stored and are discarded immediately after analysis.

Account requirement

An active Be-Inc account is required to use this bot. Your organization must be registered with Be-Inc before the bot can process messages. Only messages from registered organizations are analyzed. Unregistered users' messages are silently ignored. Use the /status command in personal chat to check your registration status. If you are not registered, contact our team to set up your account.

Limitations

- The bot requires an active Be-Inc account. Without registration, no messages are processed.

- The bot does not reply to messages or modify content in channels. It only monitors and records flagged words. All recorded data is available on the external Be-Inc dashboard only.

- The bot is available in all regions where Microsoft Teams is supported.

Privacy

We do NOT store full messages. Only flagged words and categories are stored. User identities are hashed for privacy. Full messages are immediately discarded after analysis.

External platform

Recorded compliance data — including flagged words and categories — can be viewed on the Be-Inc web dashboard (https://dashboard.be-inc.ai), which is a separate web platform outside of Teams.
