Enterprise Add-In

Be-Inc is an enterprise add-in designed for organizations committed to inclusive communication. Access is provisioned by your organization's administrator. Individual sign-up is not available — to request access or set up your organization, please contact us at support@be-inc.ai.

How It Works:

1. Your organization's admin provisions Be-Inc for your team
2. Start a new email, reply, or forward — the Be-Inc task pane opens alongside it
3. Write your message
4. Review DEI suggestions instantly in the task pane
5. Apply changes with one click or use auto-correction
6. Send your email — Be-Inc reminds you if highlighted passages are still open

Automatic Task Pane Activation:

When you begin composing a new message, a reply, a forward, or editing a draft, the Be-Inc task pane opens automatically alongside your email. It displays DE&I suggestions that you may optionally choose to apply. The task pane activates only when you begin composing; it does not run in the background at any other time. No text is ever inserted into your email without your explicit approval.

Send-Time Check (Smart Alerts):

Be-Inc uses Outlook Smart Alerts. Each time you send an email, Be-Inc checks it for the highlights it added to flagged passages while you were writing.

• No Be-Inc highlights in the email: the email is sent immediately, with no prompt.
• Be-Inc highlights still in the email: Be-Inc removes its highlight formatting and pauses the send with a Smart Alert telling you how many highlighted passages are still open. Choose Send Anyway to send the email without the highlights, or Don't Send to return to your draft and keep editing.

The send-time check does not insert any text, signature, disclaimer or other content into your email, and does not change your wording. It only removes the highlight formatting Be-Inc itself added. No email content is sent to Be-Inc during this check.

Requirements:

• Microsoft 365 subscription (Business or Enterprise)
• Outlook with Mailbox requirement set 1.8 or later
• Internet connection for real-time analysis
• Account provisioned by your organization (contact support@be-inc.ai)

Privacy & Security:

Your data is secure. Email text you analyze is sent over an encrypted connection to the Be-Inc service, which processes it with Mistral AI, a European (EU-based) AI provider. Mistral AI does not use API data to train its models. We do not store or retain your email content — text is discarded immediately after analysis, and only flagged words and their categories are recorded for your organization's compliance reporting.
