Customer requests, approvals, invoices, and project decisions arrive in your inbox. The work behind them belongs in Airtable, where your team can find it, organize it, and act on it.

Getting an email there by hand means more than copying a subject:

• choosing the right base and table, then filling the right fields,
• downloading a useful attachment just to upload it again, and
• finding the original record when the next reply arrives.

Send to Airtable puts that handoff inside Outlook. Open the email you want to keep, choose its Airtable destination, review the values, and create a record. If the conversation continues work already in progress, find that record and add the new information there instead. You decide which messages become records and what each send contains.

From email to a record your team can use

A new table starts with a Default mapping for the subject and a suitable body field. Create reusable mapping profiles for other kinds of work, such as support requests, sales leads, invoices, or approvals. The add-in can put Outlook details into supported Airtable fields so your team can sort, filter, and follow up without deciphering an email dump.

Save favorite destinations and return to recent ones. Search for an existing record before updating it, and review how each field will change. For long-text notes, you can append the new message rather than replace the history. The add-in also supports suitable Outlook appointments, so meeting details can become Airtable records too.

With Premium, bring along selected attachments and optional PDF or EML copies of the email. Add an Outlook link or attachment summary when it helps someone trace the source. Premium mapping tools include conditional values, regular expressions, expressions, and optional AI summaries or prompts. A linked Outlook conversation can bring a later reply back to the same Airtable record for your review; it does not send replies automatically.

Pin the task pane while you work through messages. When the record is sent, open it in Airtable from the result. No copy-and-paste detour is required.

Subscription & Licensing

The core create-and-update workflow is available without a subscription. Free allows up to five sends per day with the eligible two-field mapping and existing-record search. Basic removes the daily send limit while keeping the core mapping experience.

Premium adds more mapped fields and advanced profiles, selected attachment uploads, PDF and EML email copies, conversation linking, shared-mailbox sending, optional roaming settings, and other controls for richer records. Some features depend on the Outlook client and the Airtable table's field types. The add-in is available in supported Outlook desktop clients and Outlook on the web; it does not have a mobile experience.

Eligible users can try Premium for 14 days without a credit card. Review the trial terms in the add-in before starting. For current pricing and subscription details, see the subscription page. A subscription is not required to install or evaluate Send to Airtable.
