Built on Microsoft Azure services and powered by Azure OpenAI, the solution enables employees to communicate with an intelligent HR agent through voice, video (avatar), or chat. This creates a seamless, hands-free experience that mimics real conversations with HR personnel, ensuring quick and reliable support anytime.
The solution introduces a human-like voice and avatar interface that allows employees to initiate calls and interact naturally using voice or text. The AI-powered avatar responds instantly, with realistic tone and expressions, making communication more engaging and relatable. Users can switch between chat and audio modes as needed, ensuring accessibility and convenience across devices. This conversational design replaces the need for manual HR searches, offering a more personalized, intuitive way to get information.
At the core of the solution lies its Smart HR Query Handling capability. The bot is trained using organization-specific HR policies and documents via Azure AI Foundry, enabling it to understand context and provide accurate responses to common HR queries such as leave policies, benefits, payroll, and onboarding procedures. When faced with an unfamiliar or complex question, the system automatically escalates the query to the HR team, ensuring employees always receive correct and verified information. This hybrid model—AI-assisted with human verification—maintains reliability and consistency across HR communications.
The technical architecture of the solution ensures enterprise-grade performance, scalability, and security. The backend is containerized and deployed through Azure Container Instances, with images securely stored in Azure Container Registry. Key Azure components include OpenAI (GPT-4o, Speech Services, TTS/STT) for conversation handling, Azure Key Vault for secret management, Azure Static Web Apps for hosting the front end, and Microsoft Entra ID for secure authentication. This cloud-based architecture ensures high availability and efficient load handling, meeting the demands of large enterprise environments.
The front end, developed in Next.js, provides a clean and responsive interface where users can log in securely, access FAQs, or start a live AI-assisted HR session. The interaction begins within seconds, allowing immediate engagement with the HR avatar for policy inquiries or issue resolution. The hands-free, voice-enabled setup particularly benefits employees on the go or in non-desk environments.
A key differentiator of the solution is its Integrated HR Escalation Workflow, which ensures smooth coordination between the AI agent and HR staff. When the AI cannot answer a query, it automatically notifies the employee that the question will be escalated. An email is simultaneously sent to the HR department, and the case is logged in a Power Apps dashboard for tracking. HR personnel can review and respond within Power Apps, and the employee receives the reply directly via email. Once resolved, the escalation is marked closed, ensuring full visibility and accountability in every step of the process.
The system also includes a comprehensive Analytics and Reporting layer powered by Power BI, which provides actionable insights into system usage and HR service efficiency. It tracks parameters such as the number of interactions, question categories, average response time, escalation volume, user satisfaction ratings, and peak usage periods. These insights help HR teams identify recurring issues, improve policy clarity, and continuously enhance employee engagement. SharePoint serves as the structured data repository for storing logs, escalations, and analytics inputs, enabling easy integration and management of organizational data.
