Annoteer
by NTI MEASURE
Live document review in Microsoft Teams. Mark up together. Extract with AI.
Annoteer turns Microsoft Teams meetings into live document review sessions. Instead of one person screen-sharing while everyone else watches, every participant marks up the same document at the same time, and the markup stays on the document after the meeting ends.
What it solves
Screen-sharing makes document review a spectator sport. Feedback is spoken rather than captured, so somebody has to write it all down afterwards and hope they got it right. Annoteer replaces that with a shared surface everyone can draw on, so decisions land on the document while the meeting is still happening.
Main features
- Real-time collaborative annotation — freehand drawing, highlights, sticky notes, text boxes, shapes, arrows and lines. Every mark appears on every participant's screen instantly.
- Five document formats — PDF, PowerPoint (.pptx), Word (.docx), Excel (.xlsx), and images (PNG, JPG, SVG, WebP, GIF).
- Native Office editing — edit Word documents and Excel spreadsheets together during the meeting, with import and export.
- Presenter follow-me — participants who choose to follow the presenter stay on the same page and document automatically.
- Export — download PDFs, slides and images with the annotations burned in, and Word and Excel files with your edits.
- AI data extraction — turn a reviewed PDF or PowerPoint into structured JSON, CSV, Markdown, or plain text.
- Single sign-on with Microsoft Entra ID — no separate account to provision.
Who it is for
Teams that review documents together: design and product reviews, legal and contract redlining, training and classroom sessions, customer onboarding, and engineering or operations reviews.
Where it runs
Annoteer runs entirely inside the Microsoft Teams meeting side panel and meeting stage. There is no separate application to switch to during a meeting.
Limitations and conditions
- In order to use this app, your organisation must have an active Annoteer account. New organisations start with a 14-day free trial, no credit card required. Please sign up at https://annoteer.app for more details.
- After the trial, Annoteer costs 9 EUR per user per month, excluding VAT. AI extraction is limited to 10 documents during the trial; everything else is unlimited.
- When a trial or subscription ends, existing documents and annotations remain viewable in read-only mode.
- Annoteer runs on Microsoft Teams for Windows, macOS, the web, iOS and Android. On mobile, participants can annotate the shared whiteboard and any document another participant has opened, with the full toolbar and live collaboration.
- Opening a document and downloading the annotated copy are available on desktop and the web only. On mobile these controls are absent: Teams for Android ends the app's session when the system file picker opens, and Teams declines the download itself.
- The meeting side panel is not available to participants who join through Microsoft's anonymous meeting link. This is a Microsoft platform restriction.
- Uploaded documents are processed on Annoteer's servers in order to render and convert them, and, only when you request it, to extract data using Anthropic's Claude API.
