Automatic archiving when you send (event-based activation)

Koppel uses event-based activation. When you send an email message, the add-in starts automatically, even when the task pane is closed. This applies only to Outlook clients that support event-based activation, and not to Outlook on mobile. It is active only while you are signed in to Koppel with a valid licence and a connected Exact Online administration; otherwise nothing happens on send and your message goes out as usual.

What happens depends on the "When sending" setting in Koppel:

• Automatic (the default setting): the message is saved as a document in your organisation's Exact Online administration. To do this, Koppel sends the subject, the sender, the recipients (To and Cc), the send date, the message body and the attachments to the Tapster service. Attachments larger than 3 MB, or larger than 6 MB in total, are skipped.
• Smart Alert: see below.
• Manual: Koppel does nothing of its own accord when you send. You save messages yourself with the "Save to Exact" button.

What Koppel inserts into your message: a single technical internet header, x-koppel-archive-key, containing a randomly generated identifier. It is used only to prevent the same message being archived twice in Exact Online. Koppel does not add to or change the subject, the message body, the recipients or the attachments.

Smart Alerts

If you select the "Smart Alert" setting (this is not the default), Koppel checks on send whether the message goes to a recipient outside your own email domain. If it does, Outlook shows a dialog asking whether the message should be saved in Exact Online. You can open Koppel and choose where the message should go, or choose "Send anyway", in which case the message is sent and nothing is stored in Exact Online. Messages that stay entirely internal, with all recipients on your own email domain, do not trigger the dialog.

Smart Alert runs in PromptUser mode: if Koppel is unavailable, slow, or runs into an error, your message is always sent anyway. Koppel never permanently blocks sending.
