Folder Suggest
door Folder Suggest
File emails in one click — no rules. On-device AI, nothing leaves your device.
Stop filing emails by hand. Folder Suggest puts the right folder next to every email, with nothing to set up.
Work through your recent mail as a list where every message already has a folder: click the folder to file it, or pick another. In classic Outlook for Windows you can also get ranked suggestions for the email you're reading. Either way, one click files it and one click undoes it.
Unlike rules, there's nothing to configure. Unlike cloud AI assistants, your email is never sent to us or to any AI service.
Who it's for
- Professionals filing dozens of emails a day across many folders
- Legal, finance, healthcare and consulting teams with strict data rules
- Anyone who's tried Outlook rules, given up, and gone back to drag-and-drop
How it's different
- No rules to write. It reads the folders you already have and starts suggesting straight away.
- Matches meaning, not keywords. A supplier's payment notice goes to Accounting and a client's meeting invite to their project folder, even when no word matches.
- Learns as you file. File a sender into the same folder twice and their next emails lean toward it.
- On-device AI. A tiny AI model runs inside Outlook, where every suggestion is computed. None of your email is sent to us or to any AI service.
- Fast after the first run. Folder profiles are cached on your device, so suggestions appear in seconds.
Features
- Your recent mail as a list, each email with a folder already suggested
- Accept all confident matches in one review, unticking any you'd rather keep
- Rows look like Outlook's own list (unread, flags, attachments, date headings), and Find searches the whole folder
- Files sent mail as well as received, matching on the recipient
- Create a folder without leaving the pane, nested anywhere, Archive included
- Folder names in any language
- Pin the pane so it stays open as you work (Outlook doesn't offer pinning for personal Outlook.com accounts on the web or in new Outlook)
- Keyboard shortcuts: arrow keys to move, Enter to file, 1–3 for another folder, / to find, Ctrl+Z to undo
- Automatic dark mode
- One-click undo on every move, back to the folder the email came from
A note on permissions
Microsoft will ask you to give Folder Suggest read and write access to your mail. Read, so it can learn what each folder holds and match the email in front of you; write, so it can move the email when you click. The matching runs on your device: no email content, subject line or folder name is sent to our servers. We record anonymous usage counts and error diagnostics so problems can be found and fixed. - Microsoft 365, Exchange Online, or a personal Microsoft account (Outlook.com, Hotmail, Live). Not supported: on-premises Exchange, shared mailboxes, and Gmail or other non-Microsoft accounts added to Outlook.
- Outlook on Windows (classic or new), Outlook for Mac, or Outlook on the web
- The AI model (~23 MB) downloads on first use and is then cached on your device
