2.1 Learn Phase Objective: Ensure your team understands what tools exist, how they fit together, and how they can be leveraged in your environment. • Two (2) sessions, 90 minutes each, for up to 10 attendees. • Demonstrations of the Microsoft AI ecosystem and relevant tools, including: o Copilot Chat o Microsoft 365 Copilot o Power Apps & Power Automate with AI Builder and AI prompts o Copilot Studio (conversational & autonomous agents) o SharePoint Agents and Microsoft 365 Agent Builder o Brief overview of Azure AI tools 2.2 Plan Phase Objective: Define what will be built, ensure alignment with business priorities, and establish a clear plan for execution. • Two (2) sessions, 90 minutes each. • Review business challenges, identify the highest-impact AI use case (a “quick win”), and jointly sketch out a solution roadmap. • The selected solution should be internal facing. 2.3 Build Phase Objective: Deliver a functioning solution ready for deployment. • PowerApps911 will allocate up to ten (10) hours of build time. • Work includes designing, building, and testing the quick-win solution. Emphasis on high-impact features, clean architecture, and practical testing so the solution is usable immediately. • Access: Ideally, we are granted direct access to your tenant/account so we can build solutions directly on your data, saving time and money. Building directly in your tenant also reduces the risk of cross-tenant configuration mismatches that can prevent easy deployment of solutions. • Licensing: Many Microsoft AI tools support trials, we’ll help assess what licensing is required based on your situation. 2.4 Deploy Phase Objective: Launch the solution, equip your team for success, and define the path forward. • Publish the solution to selected users for feedback (1 hour) • Conduct a knowledge transfer/training session with your team (1 hour) • Final review session to capture end-user feedback, document insights, and map out future enhancements and next steps. (1 hour) 2.5 Deliverables • Roadmap and solution design artifact from the Plan phase • Working AI solution • Deployment of the solution to pilot users • Knowledge-transfer session • Summary report capturing feedback, insights, and recommended next steps/enhancements 2.6 Assumptions • Up to 10 participants in the Learn phase • Engagement delivered within one week (or optionally two weeks) • Your team will allocate time for the sessions and provide access to required systems or data as needed • The selected “quick win” solution is scoped to fit within the ~10 hours of build time and is internally facing (not an enterprise-wide build) • Any additional build or enhancements that exceed the initial 10 hours will require a change order.
