Many organizations have disparate HR systems holding employee data. Documenting employees’ skills can also be burdensome for employees, their managers, and HR administrators. This makes it challenging to match existing skills and talents to internal candidates. As a result, organizations either (1) focus on external recruitment, driving costs higher than reskilling internal candidates, or (2) experience higher levels of turnover from missed opportunities to upscale and enable employees into new roles.

Our proposed service is a Microsoft Viva based solution where enterprise users (e.g., managers) will be able to search for specific internal profiles (using MS Teams, Outlook, or SharePoint) based on skills added to a portal or based on suggestions recommended by AI.

This service will enable the organization to tap into the existing pool of skills and capabilities across the enterprise thereby decreasing pressure on cost growth for new employees, increasing existing employee satisfaction, and streamlining HR administration.

About the Proof of Concept

The aim of the proof of concept implementation will be to prove the usefulness of the Microsoft Viva Topics solution to the organizations and to help improve the flow of information and knowledge acquisition from those who possess it. This should result in easy access to sources and experts who specialise in topics, which may be projects, technology or other common areas in organisations.

PoC timeline will consist of 4 phases:

Assessment and planning
Viva topics setup and configuration
Model training and result analysis
Solution adaptation and further extensions

Phase 1

Describe the scope and customer’s expectations for implementation. Evaluation of the structure, type, amount, quality of materials and their identification for use in the Viva Topics area to deliver value to the organization. Verifying if the migration of documents is needed. Identify roles and train the responsible employees. This phase should give answers to the following questions:

What content should be used for topic discovery?
Who will manage topics?
Who will see topic cards and highlights?
Which topics are expected?

Phase 2

Environment configuration performed by technical team, focused on connecting solution to relevant data sources and SharePoint sites, permission configuration and roles assignment and provisioning of topic center. In particular assessing the current structure of SharePoint websites and their alignment for integration with Microsoft Viva.

After second phase Viva topics will be rolled out to organization.

Phase 3

In this phase a limited number of users will be responsible for interacting with the solution and testing its operation against their expectations in order to adapt the solution based on feedback in order to reveal the best topics

Phase 4

Lastly, it is possible to extend the circle of users to the entire organization and include all SharePoint sites for Viva Topics discovery.
