An intelligent AI assistant that automates the end-to-end sales order process by capturing customer purchase orders from email (body and attachments), an internal chat widget where agents can key in order details while speaking with customers over a call (Teams -based, if applicable), and voice (planned). It then uses AI to extract order details, validate the data, route it for approval, and create the sales order in Dynamics 365 Finance & Operations.
It is used by customer service and sales operations teams to eliminate manual data entry from emails and attachments, reduce rework caused by errors or missing information, and improve turnaround times. Buyers get immediate centralized capture of all order channels and automated order creation workflows with visibility and audit readiness.

How it works

  • Receive Customer Order: Customer sends PO via email, an internal chat widget, or voice; AI agent captures the message and initiates order creation workflow (Outlook, Teams, Agent flows).
  • Order Data Extraction: AI reads email/attachment and extracts fields like Customer ID, Product, Quantity, Price, Delivery Date; maps into Dataverse and flags unrecognized data (AI Builder, Power Automate, Dataverse).
  • Order Validation: Validates extracted data against records (customer/item master, pricing, credit limits) and detects duplicates using PO number logic (Dataverse, Dynamics 365 F&O).
  • AI Summary & Approval: Generates an AI order summary for CSR/Sales Manager approval via Teams (Adaptive Card); logs approval trail in Dataverse (Teams Bot, Power Automate, Dataverse).
  • Sales Order Creation in Dynamics 365 F&O: Automatically creates the order in Dynamics 365 F&O and updates related records; applies business rules (pricing, taxes, delivery schedule) (Dynamics 365 F&O, Power Automate, Dataverse).
  • Confirmation & Backup: Sends confirmation email; archives order JSON and email backups; logs process status; uses Key Vault for secure credentials (Outlook, Azure Blob Storage, Application Insight, Azure Key Vault).
