Slots Picker

by Slots Picker

Select free slots across multiple exec calendars and drop them into your email instantly.

Slots Picker is an Outlook add-in built by an Executive Assistant, for Executive Assistants.

If you regularly coordinate meetings with external contacts (investors, lawyers, clients, founders etc), you know the drill: cross-referencing calendars, converting timezones, typing the same sentence over and over again in different emails. Slots Picker removes the busywork without taking away the nuance and judgement that only an EA can bring.

How it works

Slots Picker allows you to view multiple executive calendars at once, whoever you've got shared calendar access for.

You can then drag to select a free slot on any of the displayed calendars, and select which timezone you want to send them in.

When you click insert, a customisable, timezone-aware list of slots will be inserted into your currently open email draft. There's no need to copy-paste or switch between windows.

Slots Picker is a compose add-in. It appears only when writing or replying to a message, not when reading one. It is available only for work or school accounts, not personal accounts.

Key features

  • View multiple calendars in a single pane across the working week
  • Drag to select free meeting slots across the calendars you have selected
  • Insert your list of available slots into your email draft with a single click
  • Set your display timezone and output timezone independently, and view both at once
  • Choose between different output formats: concise, formal, friendly, or create a custom one yourself
  • Refer a colleague and earn rewards

Built for relationship-driven industries

Slots Picker is designed for EAs and PAs working in industries where scheduling executive meetings with external stakeholders is a frequent necessity, and who want to avoid the impersonal experience of using a shared scheduling link. The add-in is particularly suited for roles in private equity, law, consulting, founder-led companies, and other fields requiring a high degree of relationship building with the outside world.

Privacy first, by design

Your executive's calendar data is read directly into your active session and is never stored on Slots Picker's servers. We only hold data necessary to operate the add-in (such as your own email address, though not your exec's), and our Microsoft Graph permissions are strictly read-only: we cannot create, update or delete calendar events. See our privacy policy for more information.

Simple pricing

Slots Picker offers a 14-day free trial with no payment method required. Once your trial has ended you can choose not to continue using the add-in without paying a penny. If you decide to subscribe, you'll pay just £60* per year (shown in your local currency), managed at slotspicker.app. The add-in itself is free to download here from AppSource.

App capabilities

When this app is used, it
  • Can send data over the Internet
  • This app can access and modify personal information in the active message, such as the body, subject, sender, recipients, and attachment information. Other items in your mailbox can’t be read or modified. Review the developer's privacy policy for more detail on how personal information is managed and processed.
