ERP Data Management in Microsoft Teams
Voli enhances Microsoft Teams by enabling seamless access to ERP-backed time registration workflows directly within the workspace. In the Voli personal tab you get the Voli Projects web app - timesheets, project boards, resource planning, approvals and expenses. With the Voli bot you can log project hours to Maconomy, review Outlook-based time suggestions when calendar access is enabled, and open your Voli timesheet without leaving Teams.
AI-powered features: this app uses generative AI (large language models) in two places. Both are assistive: the AI only acts on what you ask for, every result is shown to you before it is used, and you can always work without it.
1) Voli AI assistant (chat) - available in the personal tab as a chat panel. Purpose: let you manage Maconomy time registrations in natural language. It can find jobs, tasks and customers, show the hours you have registered for a day or a week, create a new time registration, correct an existing one, and register time on a Voli board item. It replies in the language you write in.
2) AI time suggestions from Outlook - used by the Voli bot "suggest" command and in the timesheet. Purpose: save manual entry by proposing time lines from your calendar. When your organization has enabled Microsoft calendar access, AI reads the subject and details of your Outlook events and suggests the Maconomy job and task each meeting most likely belongs to, with hours and a description. Suggestions are drafts: nothing is registered until you confirm.
No other part of the app uses AI. Boards, Gantt, resource planning, approvals, expenses and reporting are deterministic, non-AI features.
AI processing is performed by a large language model provider (Anthropic Claude, or an OpenAI-compatible provider). Your organization's administrator chooses the provider and model under Settings > AI models and may supply the organization's own API key; only the text of your request and the Maconomy or calendar data needed to answer it are sent to that provider. AI output can be inaccurate or incomplete, so review suggested jobs, tasks, hours and descriptions before confirming them.
