ZKutools Anywhere for Outlook combines an intelligent email assistant with a practical collection of everyday mail tools. Summarize long threads, draft and polish replies, translate messages, track responses, and automate repetitive email tasks—all without leaving Outlook.

Describe what you need in plain language, review the generated result, and insert it directly into your message. For tasks that do not require AI, use the built-in reply tracking, attachment, recipient, and automation tools to handle common Outlook operations more efficiently.

Key benefits:

  • Summarize long email threads: Turn lengthy conversations into a short, readable summary. Choose to summarize only the latest message, highlight the importance of the email, or list the key points that need your attention.
  • Draft and reply with AI: Generate a complete reply from an incoming message, write a new email from scratch, continue an unfinished draft, or expand brief notes into full sentences. Quick Reply first suggests several reply directions, so you can pick one and generate the full response.
  • Polish and proofread before sending: Improve wording and tone, and review spelling and grammar with suggestions you can apply one by one or all at once. Optionally ignore technical terms, abbreviations, capitalization, or signature blocks.
  • Write thank-you replies quickly: Generate acknowledgement replies in a concise, detailed, formal, or friendly tone, without rewriting the same courtesy message every time.
  • Translate messages across languages: Translate incoming mail to understand it, or translate your own reply into the recipient's language before sending.
  • Understand tone and intent: Analyze the sentiment of an incoming email to see whether the sender is satisfied, neutral, or dissatisfied, with an optional explanation of the reasoning behind the result.
  • Extract information from emails: Pull out named entities such as people, places, and organizations, or structured details such as dates and amounts, from a message or an entire conversation.
  • Get improvement suggestions: Review an email for logical clarity, body content, and potentially sensitive or inappropriate wording before it is sent.
  • Build your own AI skills: Create custom skill cards with your own role and instructions, rename and reorder them, set a default skill, enable automatic execution, and choose a specific AI provider and model for each skill. Skills are organized for both the reading pane and the compose window.
  • Teach the assistant your writing style: Let the assistant learn from your previous emails and uploaded files, so generated replies follow your own wording and format. Already-learned emails are skipped automatically, and you can review, inspect, or clear the knowledge base at any time.
  • Track replies and get reminded: Set reply tracking on selected emails. Get notified when no reply is received within a specified time, or when a valid reply arrives (automatic replies excluded). Stop tracking or refresh reminder status at any time.
  • Reply with the original attachments: Reply or reply all while automatically including the attachments from the original message, instead of downloading and re-attaching them manually.
  • Reply to everyone in the conversation: Send your response to all participants across the conversation history, not only the recipients of the most recent message.
  • Automate Cc and Bcc recipients: Save the addresses that should always be copied, and have them filled in automatically when you compose, reply to, or forward an email.

ZKutools Anywhere for Outlook is useful for professionals handling customer support, sales follow-ups, client communication, cross-language correspondence, internal coordination, and other mailboxes that require frequent replying, summarizing, tracking, or follow-up.

Use AI when a task benefits from natural-language understanding, and use the built-in email tools when a faster, predictable operation is more appropriate.

Important: AI-generated summaries, replies, translations, and analysis should be reviewed before sending, especially in customer-facing or business-critical correspondence.

AI Features

Use the built-in Kutools AI service and receive a free token allowance to get started. After the free tokens are used, a paid subscription is required only to continue using Kutools AI.

You can also connect your own AI service instead. Supported providers include OpenAI (ChatGPT), GoogleAI (Gemini), AzureAI, DeepSeek, Alibaba Cloud DashScope (Qwen), Zhipu AI (GLM), Baidu (ERNIE), and SenseNova, as well as any custom, OpenAI-compatible endpoint. Usage limits and charges for these services are determined by the corresponding AI provider.

Free Non-AI Tools

All non-AI tools are completely free to use, including reply tracking and reminders, replying with original attachments, replying to all conversation participants, automatic Cc/Bcc recipients, and more.

Background automation (Event-based activation)

This add-in registers two Outlook launch events (OnNewMessageCompose and OnMessageSend) to support two optional features that run without requiring the task pane to be open. Both features are off by default and can be turned off at any time — Auto CC/BCC by clearing the addresses in the add-in's settings dialog, and Watch for Reply by clicking "Stop watching for reply" on the reply-tracking banner for that email.

1. OnNewMessageCompose — Auto CC/BCC

This event fires whenever a new compose window is opened (new message, reply, reply-all, or forward).

Conditions of use: the add-in checks whether you have previously saved any CC/BCC addresses in the Auto CC/BCC settings dialog. If none are saved, the handler exits immediately and the draft is unaffected. Only when you have explicitly saved one or more addresses does the add-in modify the draft.

Information inserted: the configured CC and/or BCC addresses are merged into the draft's existing CC/BCC fields, skipping any address already present to avoid duplicates. The add-in also clears any leftover "Watch for Reply" notification banner from a previously tracked email, so it doesn't incorrectly appear on the new draft. The subject, body, and attachments are never read or modified, and no data is transmitted to any external server during this event — the CC/BCC addresses are read only from settings you entered yourself.

2. OnMessageSend (SendMode = SoftBlock) — Watch for Reply

This event fires when you click Send.

Conditions of use: the event only intercepts a message at send time if you have explicitly enabled reply tracking on that specific email beforehand — by clicking "Notify me when I get a reply" or "Notify me if no reply" in the ribbon and confirming the settings dialog. When you have not enabled reply tracking, the handler reads the message's custom properties only to confirm this (no email content is read), then completes immediately with allowEvent: true — the message is sent normally and is otherwise unaffected.

Information inserted: when reply tracking is enabled, at send time the add-in briefly delays completion of the send to (1) write a custom extended property to the outgoing message containing only the reply-tracking configuration you chose — the reminder mode and the reply/no-reply deadline — and (2) register a tracking subscription with our backend service, so you can later be notified in Outlook when a reply is received or when the no-reply deadline passes. No changes are made to the message's recipients, subject, or body, and the email content itself is never transmitted.
