Avoice for Outlook

Avoice for Outlook brings project email into Avoice, so the correspondence that decides a project stops living in individual inboxes.

Architecture and construction projects run on email. Approvals, revised drawings, instructions and RFI responses all arrive as messages and attachments, and unless someone files them by hand they stay in one person's mailbox — invisible to the rest of the team and missing from the project record. This add-in removes the hand-filing step.

READING A MESSAGE

Open any message in Outlook and choose "File to Avoice". The pane shows what is on the email — the message itself, its thread, and each attachment — and lets you tick what to file and choose a destination for each one. Attachments land as project files alongside everything else, so the drawing attached to a Tuesday email becomes the same record the rest of the team works from.

From the same pane you can generate AI suggestions for the open message:

- Suggested tasks. Avoice reads the email and proposes the follow-up actions it is actually asking for, so a request buried in a paragraph becomes something with an owner in your project. Create them individually or all at once, and suggestions already covered by an existing task are filtered out.

- Reply help. A draft reply grounded in the project — the thread, the filed correspondence and the project's own files — which you open as a normal Outlook reply and edit before sending.

WRITING A MESSAGE

On a new message, choose "Insert from Avoice" to search your project's files and insert a tracked link. The link always opens the current revision, so a recipient who clicks it next month sees the drawing as it stands then rather than the superseded version that happened to be attached. Where your version of Outlook supports it, you can attach a copy of the file instead.

WHAT YOU NEED

Avoice for Outlook requires an active Avoice subscription. It is a companion to the Avoice platform rather than a standalone product, and everything it files lands in your existing Avoice workspace. Start at https://avoice.co.

Setup is one step: generate an add-in token in Avoice under Integrations, and paste it into the pane.

The add-in works in Outlook on Windows, Outlook on Mac and Outlook on the web. It reads only the message you have open, and while composing it inserts content at your cursor. It does not read or change the rest of your mailbox.
