CaRD Add-in for Outlook for SAP S/4

Filing e-mails where they belong: on the SAP business object. The CaRD Mail Add-In lets your users file an e-mail, including its attachments, on a purchase order, sales order, supplier invoice, customer or supplier – without leaving Outlook and without an SAP GUI session.

How it works

• The add-in recognises document numbers in the subject and body and proposes matching business objects.
• Before anything is written, it verifies the object against SAP and shows it in plain language, for example the customer name behind a sales order.
• On confirmation the message is filed as the unchanged original, including all attachments – no conversion, and therefore suitable as a business record.
• A note and an Outlook category mark the message, so everyone can see what has already been filed.

Built for all three SAP worlds
One code path serves S/4HANA on-premise, private cloud and RISE landscapes, and S/4HANA Cloud Public Edition. Filing uses the released SAP attachment interface; existence checks use released read interfaces.

Made for IT departments

• Users sign in with their existing Microsoft 365 work account. Permissions are granted as application roles in Microsoft Entra ID, one per filing profile, and enforced on the server.
• Your organisation runs the backend service itself, against its own SAP system. No vendor cloud is part of the data flow.
• The add-in requests no mailbox-wide permissions and processes only the message a user has opened.
• New business objects are configuration, not development: object type, key fields, recognition patterns and check service are maintained in a profile file.
• The user interface is available in 23 languages and follows the display language of Outlook.

Works with the CaRD Connector
With the CaRD Connector for CMIS and ArchiveLink, filed documents can rest outside the SAP database – in Azure Blob Storage, SharePoint, STACKIT or AWS S3. Nothing changes for the user; the SAP content repository decides where a document lands.

Licensing and prerequisites
Commercial software: a paid licence from CaRD is required, issued for a number of named users and purchased directly from CaRD (sales@card.de). At your own cost you also need a mailbox on Exchange Online, a runtime environment for the backend service such as Microsoft Azure App Service, an SAP S/4HANA system (Public, Private, RISE) with the attachment interface enabled, and SAP user licences and authorisations. SAP and Microsoft licences are not included.
