Savance Workplace Visitor Management

Savance Visitor Management for Outlook simplifies visitor registration by integrating guest management directly into the meeting scheduling process. Users can pre-register visitors and contractors while creating Outlook appointments, helping organizations prepare for arrivals before guests reach the facility.

The add-in supports individual and batch visitor registration, allowing users to register multiple guests at once and optionally send welcome or pre-registration emails ahead of scheduled visits. By connecting visitor management to Outlook scheduling, organizations can improve coordination, streamline check-in processes, and create a smoother visitor experience.

Companion App: Organizations using Savance Workplace may also install the Savance Workplace app for Microsoft Teams and Outlook to access employee status management, the Electronic In Out Board, reports, and additional workplace tools.

Requirements:

• An active Savance Workplace subscription is required

• Users must have an authorized Savance Workplace account

• Available features may vary based on organizational configuration, permissions, and administrator settings

LaunchEvents:

Uses the Outlook OnAppointmentSend launch event to verify visitor preregistration before a meeting invitation is sent. If external attendees require preregistration and it is incomplete, sending is temporarily paused until preregistration is completed. Otherwise, the appointment is sent normally.

The add-in stores the following Outlook custom properties:

savancePreregState – preregistration status.

savancePendingSend – indicates a paused send action.

When preregistration is completed, the add-in reads appointment details (time and attendees) and submits visitor preregistration information to the Savance Workplace service.

Smart Alerts

If required visitor preregistration is incomplete, the add-in displays a Smart Alert instructing the organizer to complete preregistration in the Visitor Management pane before sending the appointment. The alert contains only instructional text and a link to open the task pane; no additional personal data is displayed.
