Book a Meeting Room brings your organization's live room availability straight into the meeting you're composing. Pick a free slot, and the add-in drops the room into the meeting's location and lines up the time for you — no switching tabs, no double-booking.

What you can do

- See real availability — browse your organization's meeting rooms with a live day calendar showing exactly when each room is free or busy.

- Book in two clicks — tap a free slot and the room and time are written into your Outlook meeting automatically.

- Recurring meetings — book a whole weekly or monthly series, with per-occurrence conflict checking so a clash on one date doesn't sink the rest.

- Book a desk — the same panel lists your organisation's desks by work area; book yourself a morning, afternoon or full day. A desk booking is yours alone and isn't added to the meeting you're composing.

- Stay in sync (optional) — when your administrator enables it, deleting or rescheduling a meeting automatically frees or moves its room.

It's free to get started — your organization's first meeting room is free — with paid Meet Me At Work subscriptions for organizations managing multiple rooms. Rooms are managed by your organization's administrator in the Meet Me At Work portal.

On-send room confirmation (event-based activation / Smart Alerts)

This add-in uses Outlook's event-based activation: when you click Send on a meeting that has a Meet Me At Work room attached, the add-in confirms the room booking at that moment. If the room was taken while you composed, your room hold expired, or the meeting is missing a subject or attendees, a Smart Alert dialog explains the issue so you can fix it and send again. The add-in does not insert any content into your meeting at send time — it only reads the meeting's subject, time, and attendees to confirm the booking. Meetings without a Meet Me At Work room are unaffected. If the add-in cannot load, Outlook lets your send proceed normally.

Works in delegated calendars — an assistant composing in a manager's shared calendar can open the add-in there and book the room on the manager's behalf.
