SafeReplies

SafeReplies helps teams review outbound Outlook messages before they are sent. The add-in supports pre-send compliance checks for customer-facing teams that need safer wording, policy-aware guidance, and manager review workflows inside Outlook.

SafeReplies uses Outlook event-based launch and Smart Alerts to support active draft review. When a user composes or attempts to send an email, SafeReplies may run a compliance check on the active draft. The add-in reviews the draft subject, body text, recipient context, and attachment presence where available, then compares the wording against the user’s SafeReplies workspace rules, industry compliance pack, and configured policies.

If a potential compliance issue is detected, SafeReplies shows a warning and suggested safer wording before the email is sent. Higher-risk drafts can be routed for manager review. SafeReplies does not read inbox history, sent mail, mailbox-wide content, or attachment contents. It does not send emails automatically and does not silently modify draft content. Suggested wording is inserted only when the user explicitly chooses to apply a rewrite.

Smart Alerts are used to notify users when draft content may need review, rewriting, or manager approval before sending. SafeReplies is a decision-support tool: the sender and their organisation remain responsible for the final content of every email.
