Dynamics 365 Business Central Backorders, Allocation and Reservations: 1-Hr Assessment

New Technology Research

The Stock Is Physically on the Shelf. Business Central Says You Cannot Have It.

Your best customer needs forty units today. You have sixty. The system refuses, because fifty of them are reserved against an order that does not ship for another three weeks. So somebody with enough system access goes in and unpicks the reservation by hand, and the order that was quietly promised to another customer now has a problem nobody has noticed yet.

This is one of the most common daily frustrations in distribution and it is almost never a stock problem. It is an allocation problem, and Business Central is making the decision for you according to rules that were never chosen deliberately.

Standard reservations work on a rigid first come basis. An order entered months ago can lock stock long before it is needed, which manufactures false stockouts for urgent shipments sitting behind it in the queue. Then when an order is cancelled or changed, the reservation does not always clear cleanly, and you are left with entries that describe stock coming from somewhere with nowhere to go. Nobody sees those until they cause the next refusal.

The result is that the answer to "can we ship this" depends on who you ask and how much they know about unpicking reservation entries. That is not a system anyone designed. It is what happens when the defaults are left alone.

Operational Outcomes You Can Expect

  • Allocation Rules You Actually Chose: A deliberate answer to who gets stock when there is not enough, based on customer, order type, and date required, rather than on whichever order happened to be entered first.
  • An Honest Available-to-Promise Number: A quantity your sales team can quote from and trust, so nobody promises stock that is spoken for and nobody refuses an order that could have been filled.
  • Fewer Manual Overrides: When the rules match how you actually trade, the daily habit of somebody going in to unpick a reservation mostly disappears, and so does the risk that comes with it.
  • Backorders That Fill Themselves: Incoming receipts matched against waiting orders on arrival, instead of somebody working through a list deciding by hand what to release.
  • Reservation Entries That Stay Clean: The stale and orphaned entries left behind by cancelled and amended orders identified and cleared, so they stop causing refusals nobody can explain.
